UNC Health Care Development And Volunteer Coordinator in Rocky Mount, North Carolina

Summary:

The Development and Volunteer Services Coordinator provides assistance to the Foundation by handling the administrative needs, accounting (Quickbooks), and donor stewardship duties associated with the Foundation office as well as plan and implement special events while helping to drive revenue. In addition, the Coordinator manages all donor base functions, upgrades, trainings, and gift entry (Raisers Edge). The Coordinator is responsible for enhancing the existing Volunteer Services functions in order to improve overall hospitality to the patient, family, guest, volunteer, and staff experience at UNC Health Nash.

Responsibilities:

Serves as a highly visible representative of UNC Health Nash and the UNC Health Nash Foundation

· Serves as an advocate for Nash services and Foundation programs.

· Serves as a key member of UNC Health Nash Foundation’s development team.

· Develops and maintains positive professional relationships with board members, physicians, donors, potential donors, co-workers, visitors and volunteers.

· Makes requested presentations to civic, church, service, social and other community organizations as a spokesperson for UNC Health Nash Foundation. Establishes and maintains cooperative/collaborative working relationships with department leaders and staff within the hospital and other UNC Health Nash facilities.

Assist with Foundation office operations and special event fundraising and coordination

· Serve as Executive Assistant to the Foundation Director when needed to include: review, research, and process all expense invoices; compose memorandums, policies and procedures, minutes, letters, forms and other documents and correspondence as needed; organize assigned meetings, including preparation of pertinent materials, distributing meeting notices and materials, arranging for refreshments, and transcribing the related materials

· Independently and effectively organize and prepare the needed and requested materials for the Board and committee meetings; serve as recording and corresponding secretary for Board and Board committees; complete all minutes in a timely manner and distributes to committees and the Board; maintain the Board and Committee Minute Manuals and related materials to ensure an official, accurate, record of decisions and other actions; organize and maintain the Foundation's policies and procedures manual, as well as supplies and equipment.

· Maintains positive relationships with Board members, donors, visitors, volunteers, physicians, and co-workers.

· Facilitates and ensures the proper stewardship of the Foundation's financial resources.

· Participates in approved educational programs and in-service meetings.

· Serves as the lead in planning and implementation for all Foundation special events including Picnic in the Park (formally Sunday Funday), Blue Jeans and BBQ, the Annual Soiree (fundraising gala) and donor cultivation and recognition events. Lead and coordinate a dedicated volunteer subcommittee, ensuring effective communication, engagement, and alignment with event goals. Secure corporate and individual sponsorships, as well as oversee all logistical aspects of event planning and implementation.

Donor Base/Accounting Coordinator

· Performs accounting functions to ensure financials are recorded accurately and timely, process financial transactions and prepare financial records and reports (QuickBooks Online) in accordance with established accounting procedures.

· Processes, monitors, and reviews all requests for funds related to the restricted and unrestricted fund accounts managed by the Foundation.

· Reconciles and balances all Foundation accounting activity with UNC Health Nash’s Accounting department.

· Manages all aspects of the support and management of the Foundation's donor database (Raisers Edge).

· Provides up-to-date information on prospects, donors, and gifts.

· Generates reports showing the status of gifts, amounts proposed, goals and other information related to the fundraising efforts of the Foundation.

· Produce reports and queries on as needed basis.

· Works with staff and Board to ensure all appropriate relationships within the community are captured within donor database.

· Maintains files and records which may contain confidential information with discretion and privacy.

· Completes and distributes all donor acknowledgments.

· Works with Information Systems Division and Foundation staff to implement all database updates and upgrades.

· Assists users (staff) with donor base questions and improve day-to-day efficiencies.

· Maintains donor database policies and procedures.

· Maintains and updates Foundation Wall of Honor on an ongoing basis, and all signage for donor recognition.

Directs administrative operations for Volunteer Services

· Monitors and assures all competencies are completed on all volunteers annually.

· Monitors and assures all annual education and occupational health requirements are completed by all volunteers annually.

· Reviews time cards and signs off on all volunteers in Infor each pay period.

· Maintain a current list of active volunteers including work schedules and demographic information.

Manage and enhance the existing Volunteer Services functions in order to improve overall hospitality to the patient, family, guest, volunteer and staff experience at Nash UNC Health Care.

· Execute a strategic approach in which volunteers continue to be seen as an important component of the health system, and are embedded in the communities they serve with volunteering and public engagement at the heart of their activities.

· Maintain positive and professional relationships with all volunteers by ensuring successful communication, coaching, rounding, and education.

· Monitor all patient access portals within the scope of the volunteer to obtain feedback and resolve issues before they arise.

· Partner with key service line leaders across the hospital to create flexible, appealing volunteer roles that require different skill and hospitality levels, and levels of commitment.

· Continuously recruit, train, manage and evaluate all volunteers and conduct an effective orientation for each volunteer.

· Attend outreach community events in order to attract new volunteers and extend goodwill and hospitality.

· Track volunteer hours and analyze the data to create useful reports that lead to enhanced service, hospitality and efficiencies.

· Create meaningful Volunteer Services activities that reward and recognize existing volunteers, promote favorable perceptions of this service within the community and results in increased interest in growing this program.

Other information:

Education:

Associates in business or related field, such as Accounting or Communications.

Preferred Education

Bachelor’s Degree in Business, Accounting, Communications, or related field.

Experience

2 years in Business Services or in related field of study with Microsoft Excel and or clerical accounting experience.

Preferred Experience

Donor software systems such as Raiser's Edge, and/or financial tracking software systems (Quick Books Online)or constituent relationship management software.
